Terms & Conditions

The terms that govern your access to and use of the Voyasia Destination Management Company CRM platform and mobile applications.

Effective date: 14 September 2026 Last updated: 14 September 2026

1. Acceptance of Terms

These Terms & Conditions ("Terms") form a legally binding agreement between you and Voyasia Destination Management Company ("Voyasia", "we", "us", or "our") governing your access to and use of the Voyasia CRM website and mobile applications (collectively, the "Service"). By accessing or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.

2. Description of Service

Voyasia provides a CRM platform for travel agencies and destination management staff to manage travel agents, destinations, hotel inventory, itineraries, and quotations, including generating and sending quotation documents (PDF, Excel, Word) via email and WhatsApp, tracking quotation status, and recording payment progress. We may add, modify, or remove features at any time.

3. Eligibility & Account Registration

The Service is a business tool used internally by travel agencies. Accounts are provisioned by an administrator within your organization — the Service does not offer public self-signup. You are responsible for:

  • Maintaining the confidentiality of your login credentials
  • All activity that occurs under your account
  • Providing accurate account information and keeping it up to date
  • Notifying your administrator or us immediately of any unauthorized use of your account

Administrators are responsible for the accounts they create and the permissions they assign within their organization.

4. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of any applicable law or regulation
  • Attempt to gain unauthorized access to any account, system, or data not belonging to you
  • Interfere with, disrupt, or overburden the Service's infrastructure
  • Reverse-engineer, decompile, or attempt to extract the source code of the Service, except where permitted by law
  • Upload or transmit any content that is unlawful, infringing, or contains malicious code
  • Use the Service to send unsolicited or misleading communications to travellers or third parties

5. User Content & Data

You and your organization retain ownership of the business data you enter into the Service — agent records, hotel rates, itineraries, quotations, and related content ("User Content"). By submitting User Content, you grant Voyasia a limited license to host, process, and transmit it solely to operate the Service on your behalf (for example, to generate and send documents you request).

You are responsible for ensuring you have the right to enter any third-party personal information (such as traveller or agent details) into the Service, and for complying with applicable data protection laws when doing so. See our Privacy Policy for how we handle such data.

6. Intellectual Property

The Service — including its software, design, branding, and underlying technology — is owned by Voyasia and protected by applicable intellectual property laws. These Terms do not grant you any ownership rights in the Service; you receive only a limited, non-exclusive, non-transferable right to use it as intended for your organization's internal business purposes.

7. Payments & Bookings Disclaimer

Important: The Service is a quotation and record-keeping tool. It does not process card payments, hold funds in escrow, or execute bookings with hotels or vendors. Any "payment" recorded in the Service is a manual log entry of a payment that occurred outside the app (e.g. bank transfer, cash, or a separate payment gateway).

Voyasia is not a party to, and assumes no responsibility for, the underlying travel booking, hotel reservation, or payment transaction between your organization, its agents, and its travellers. You are solely responsible for the accuracy of quotations you generate and for fulfilling any booking or payment obligations they describe.

8. Third-Party Services Disclaimer

The Service relies on third-party providers for functions such as email delivery and WhatsApp messaging (via Twilio). We are not responsible for outages, delays, or failures caused by these third-party providers, though we will make reasonable efforts to notify affected users of known service disruptions.

9. Termination

We may suspend or terminate your access to the Service if you violate these Terms, at your organization's request, or for legitimate business reasons, with notice where practicable. Your organization's administrator may deactivate your account at any time. Upon termination, your right to use the Service ceases immediately; provisions of these Terms that by their nature should survive termination (including Sections 6, 10, 11, and 12) will survive.

10. Disclaimer of Warranties

The Service is provided "as is" and "as available," without warranties of any kind, whether express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or completely secure.

11. Limitation of Liability

To the fullest extent permitted by applicable law, Voyasia shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenue, data, or business opportunity, arising out of or related to your use of the Service, even if advised of the possibility of such damages. Our total aggregate liability for any claim arising from these Terms or the Service shall not exceed the amount, if any, paid by your organization to Voyasia for the Service in the twelve (12) months preceding the claim.

12. Indemnification

You agree to indemnify and hold harmless Voyasia, its officers, employees, and affiliates from any claims, damages, losses, or expenses (including reasonable legal fees) arising from your misuse of the Service, your violation of these Terms, or your violation of any third party's rights, including in connection with User Content you submit.

13. Governing Law & Jurisdiction

These Terms are governed by and construed in accordance with the laws of India, without regard to its conflict-of-law principles. Any dispute arising out of or relating to these Terms or the Service shall be subject to the exclusive jurisdiction of the competent courts of India.

14. Changes to These Terms

We may revise these Terms from time to time. We will update the "Last updated" date above when we do, and for material changes we will provide additional notice where appropriate. Continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
